Is your business secure? You probably think, yes. But, ask yourself this: are your documents secure? Not so sure now, are you? For your business to truly be safe from attacks, your documents must be secure, particularly in today's digital age of over-sharing.

Putting Systems in Place

An article in S.C. Magazine states that "Effective security is only established and maintained through people, processes, and technologies working in concert. Security needs to be proactive, rather than reactive." So, how do you accomplish that? Here are some tips:

  • Look Inside: While external hacks get the most airplay, many breaches occur from within an organization.
  • Setting Systems: Implement a system that boasts various levels of security classifications; not every employee needs- nor should have- access to all info.
  • Keep It Simple: Make sure information classification is simple but thorough, easy to follow, and employees are properly trained on it. The better employees understand it, the better they will comply.
  • Get Colorful: A well-thought-out color coding system can keep documents secure and organized. Remember, this goes deeper than just "private" and "public" -- there is a range of levels in between.
  • Automate: Enforcing restrictions gets a boost from automated security protocols and rights-management tools.
  • Templates and Watermarks: Modify templates to support classification standards by using different templates and/or watermarks to designate the level or type of document classification. Watermarking documents will hold employees accountable, particularly with printing.
  • Store and Secure: Build proper security protocols into your document management system so that systems work together and support one another.

Security, Safety, Sanity

Document security cannot live in silos -- it must be an enterprise-wide endeavor. Don't ignore your printers and copiers, because security affects both digital and print documents. For complete security, you must put protocols in place and enforce them across the board.
